What is Proofreading?

Proofreading is the final step in the writing process, and it is essential for ensuring that your writing is free of errors. A proofreader can help you catch errors in grammar, spelling, punctuation, and formatting. 

Here are some of the things that a proofreader will look for:

  • Grammar: A proofreader will check your writing for grammatical errors, such as subject-verb agreement, correct word usage (their vs they’re vs there), and verb tense consistency.
  • Spelling: A proofreader will check your writing for spelling errors.
  • Punctuation: A proofreader will check your writing for punctuation errors, such as missing commas, periods, and semicolons.
  • Formatting: A proofreader will check your writing for inconsistent formatting such as the use of italics, borders, and spacing.
  • Obvious facts: A proofreader will check obvious facts, like if you state that George Washington was the third President of the United States.
  • Style Guide: If you have a style guide a proofreader will make sure that your content is consistent with the style guide. This could be things like always capitalizing certain words, using italics to reflect things a character thinks to themselves, or not making changes to the grammar of spoken text (this also falls under maintaining the writer’s style).

Proofreading can be time-consuming, especially if you have written a long piece of text. A proofreader can help you save time by catching errors that you may have missed. When a person writes content, they feel like they are familiar with the content, and may gloss over errors in their own work. This happens to everyone!

There are things that are outside the scope of a proofreader.  These include: dealing with permission to use copyrighted text or images, rewriting sentences or paragraphs for better flow, assessing or making suggestions to improve your stories plot or structure, fixing layout or design issues (a proofreader may flag them for your attention though). 

If you are serious about your writing, it is essential to use a proofreader. A proofreader can help you improve the quality of your writing and make sure that it is free of errors.

Tips for finding a good proofreader:

  • Ask for recommendations from friends, colleagues, or teachers.
  • Look for proofreaders who have experience in the type of writing that you need help with.
  • Have a conversation with the proofreader to make sure you feel comfortable with them and can have a productive relationship.
  • Get quotes from several proofreaders before making a decision.

Once you have found a proofreader, be sure to give them clear instructions about what you need them to do. Provide them with a copy of your writing and any style guides that you are using.
